ConFest Volunteer Code of Conduct
- Introduction
Welcome to ConFest! As volunteers, our harmonious collaboration is essential because each individual plays a crucial role in the success of the festival. This Code of Conduct outlines the standards of behaviour expected from all volunteers to ensure a positive experience for everyone involved.
- Respect and Professionalism
- Respect Others: Treat all festival attendees, fellow volunteers and vendors with courtesy and respect. We value inclusivity, so let’s keep our interactions free from discrimination or harassment.
- Professionalism: Represent the festival in a professional manner. This includes adhering the appropriate dress code for your team, and maintaining a positive attitude.
- Safety and Security
- Follow Safety Protocols: Please follow all safety guidelines and emergency procedures. If you spot any unsafe conditions, let the festival team know right away
- Emergency Procedures: Familiarise yourself with the festival’s emergency procedures and evacuation routes.
- Responsibilities and Duties
- Role Adherence: Do your best with your tasks—we’re all in this together! If you have any questions or feel like you could use some extra training, just reach out to another facilitator. We're here to support each other!
- Time Commitment: Respecting each other's time is important. Please try to arrive on time for your shifts, and if you can't, just give your facilitator a heads-up.
- Unclear instructions: In the event your facilitator is unavailable, direct any questions to Site Ops at the emergency hub.
- Confidentiality
- Protect Information: It's crucial to keep all sensitive information confidential during the festival, including personal details of attendees and volunteers.
- Alcohol and Drugs
- Zero Tolerance: Please be responsible, volunteers must be sober during their shifts—no alcohol or drug use is permitted while on duty.
- Conflict Resolution
- Address Issues Professionally: Handle conflicts calmly and professionally. If the situation requires further attention, escalate it to a facilitator or event manager for resolution.
- Complaints: Any complaints you wish to raise will follow the correct procedures. For complaints requiring urgent & immediate actions report to Site Ops, all other complaints can be directed to Complaints, Arbitration and Reconciliation Committee (CARC) via this form (https://docs.google.com/forms/d/1a_wB6fPNfxguj7WZqxSkL1-eaYW3ZGtNDmJF5EfvD6I/prefill) or email- This email address is being protected from spambots. *Please be aware that it’s often best to deal with the issue arising at the time of the incident rather than afterwards.
- Use of Festival Property
- Proper Use: Use festival property and equipment responsibly. Report any damage or malfunctions immediately to your supervisor.
- Radio Use: Short & clear communication to be transmitted, any prolonged conversations to be moved off radio, sensitive information not to be transmitted over the air, swearing, abuse or inappropriate language over the radio will result in disciplinary action, equipment to be cared for & maintained- in the case of improper use you may be liable for the cost.
- Site Vehicle Use: Provide a current driver's license to Site Ops, return the vehicle to it’s designated parking area, return the keys to Site Ops at the agreed upon time, drive at walking pace at all times. You must follow the DTE ‘vehicle use policy’.
- Heavy Machinery Use: Provide current tickets, must adhere to a skills test by Site Management, must complete a probationary period outlined by Site Management, drive at walking pace at all times, must have a spotter when working in people dense areas, and you must carry a radio at all times whilst operating machinery.
- Social Media and Public Representation
- Responsible Posting: If you post about the festival on social media, do so in a manner that reflects positively on the event and respects the privacy of others.
- Image Sharing: If you post an image relating to the festival, do so in line with the festival image sharing guidelines. All persons pictured must have given explicit consent for the photo to be taken & posted on Social Media, no crowd shots.
- Disciplinary Actions
Failure to adhere to this Code of Conduct may result in disciplinary action. Disciplinary actions may include:
- Verbal Warning: For minor infractions, a verbal warning will be issued. The volunteer will be informed of the specific behavior that needs to be corrected.
- Written Warning: For repeated or more serious infractions, a written warning will be issued, detailing the nature of the issue and the expected corrective actions.
- Suspension: For serious or repeated violations, the volunteer may be temporarily suspended from their duties. The suspension will be reviewed by a supervisor or festival coordinator to determine further actions.
- Termination: For severe infractions or repeated violations after previous warnings, the volunteer may be terminated from their role. This decision will be made by festival management and will be final.
- Acknowledgment
By taking on any role volunteering, formal or informal you acknowledge that you have read, understood, and agree to abide by the ConFest Volunteer Code of Conduct and understand the disciplinary actions that may result from non-compliance.
